Refund and Cancellation Policy

1. Introduction

At Cromiva Acting Studio, we understand that circumstances can change. This policy describes our cancellation, modification, and refund conditions for course enrollments. We recommend reading this information carefully before completing your enrollment.

2. Course Enrollment Types

2.1 Standard Enrollment

Characteristics:

  • Free cancellation up to 14 days before course start
  • Free modifications up to 7 days before course start
  • Payment plan available

Cancellation policy:

  • Cancellation more than 14 days before: 100% refund
  • Cancellation 7-14 days before: 50% refund
  • Cancellation less than 7 days before: no refund, but credit for future course

2.2 Early Bird Enrollment

Characteristics:

  • Reduced price (approximately 15% discount on standard rate)
  • Full payment required at enrollment
  • Free cancellation up to 30 days before course start
  • After 30 days, same policy as Standard Enrollment applies

2.3 Drop-In Classes and Workshops

Characteristics:

  • Payment required at time of booking
  • Free cancellation up to 48 hours before class
  • Can be rescheduled once at no charge (subject to availability)

Cancellation policy:

  • Cancellation more than 48 hours before: 100% refund or credit
  • Cancellation less than 48 hours before: no refund, but one-time reschedule option
  • No-show: no refund or credit

3. Cancellation Process

3.1 How to Cancel Your Enrollment

To cancel your enrollment, you can:

  1. Email us at [email protected] with your enrollment number
  2. Call us at +34 786 477 395
  3. Send us a message through the contact form on our website

You will receive a cancellation confirmation email within 24 hours.

3.2 Cancellation Timing

Cancellations are considered effective on the date and time we receive your notification, not when you send it. Time periods are calculated from 00:00 hours of the scheduled course start date.

4. Enrollment Modifications

4.1 Course Changes

You may modify your enrollment according to your rate policy:

  • Standard Enrollment: free modifications up to 7 days before
  • Early Bird: free modifications up to 14 days before
  • Drop-In Classes: one free reschedule with 48 hours notice

Course changes are subject to availability. If the new course has a higher price, you must pay the difference.

4.2 Program Level Changes

You may request a change from one program to another (e.g., Foundation to Camera Acting) up to 5 days before course start, subject to availability and instructor approval. Any price difference will be adjusted accordingly.

5. Refund Process

5.1 Refund Timeline

Refunds are processed within the following timeframes:

  • Credit/debit card: 5-10 business days
  • Bank transfer: 7-14 business days

Exact timing depends on your bank or financial institution.

5.2 Refund Method

Refunds will be issued using the same payment method used for the original enrollment.

5.3 Processing Fees

We do not apply additional processing fees for refunds made in accordance with this policy. However, payment processing fees (credit card fees, etc.) are non-refundable.

6. No-Show

If you do not attend the first class without prior cancellation:

  • No refund will be issued
  • You may be offered a one-time opportunity to transfer to a future session (at our discretion)
  • Unused classes are not refundable

7. Course Withdrawal

If you withdraw after the course has started:

  • No refund for completed classes
  • Remaining classes may be credited toward a future course (within 6 months) minus a 20% administrative fee

Exceptions may apply in cases of documented medical emergency or force majeure.

8. Exceptional Circumstances

8.1 Force Majeure

In case of force majeure situations that prevent your attendance or studio operation (natural disasters, pandemics, etc.), we will evaluate each case individually and offer reasonable solutions that may include:

  • Date change without penalty
  • Full refund
  • Credit for future use (up to 12 months)

8.2 Medical Emergencies

In case of documented medical emergency preventing your participation, we offer additional flexibility. Official medical documentation will be required for consideration. We may offer full refund or transfer to future session.

9. Studio-Initiated Cancellations

If we must cancel a course due to:

  • Insufficient enrollment
  • Instructor unavailability
  • Facility issues

You will receive:

  • 100% refund within 5 business days, OR
  • Priority placement in the next available session at the original price, OR
  • Credit for any course of equal or greater value

10. Additional Services

10.1 Private Coaching

Private coaching sessions can be cancelled without charge up to 48 hours before the scheduled session. Less than 48 hours notice results in full charge.

10.2 Demo Reel Production

Demo reel production deposits are non-refundable once filming has begun. Before filming starts, deposits are refundable with 7 days notice minus 25% booking fee.

10.3 Showcase Performances

Showcase performance fees are non-refundable once rehearsals begin. Before rehearsals, cancellations follow standard enrollment policy.

11. Payment Plans

If enrolled in a payment plan:

  • You are responsible for all scheduled payments even if you withdraw
  • Early payment in full receives 5% discount
  • Missed payments may result in removal from course with no refund
  • Refunds (when applicable) will be calculated after deducting any outstanding payments

12. Student Protection

We recommend considering insurance that covers unexpected course cancellations. Cromiva Acting Studio does not offer such insurance directly, but can provide information about third-party options.

13. Disputes and Claims

If you are not satisfied with a decision related to cancellation or refund:

  1. Contact our student services department: [email protected]
  2. Provide your enrollment number and details of your claim
  3. We will respond within a maximum of 7 business days
  4. If still unresolved, you may request a review by the Studio Director

14. Modifications to This Policy

We reserve the right to modify this policy at any time. Modifications will not affect enrollments already completed, which will be governed by the policy in effect at the time of enrollment.
